Terms & Conditions for Accommodation and Related Services

These Terms & Conditions (the “Terms”) constitute a binding agreement between Satva Samui Retreat Hotel (yoga retreat hotel on Koh Samui, Surat Thani Province, Kingdom of Thailand; the “Provider”, “we”, “us”) and you, the guest or authorised representative (“Guest”, “you”).

By booking or using our services you agree to these Terms. They are published at satvasamui.com (the “Website”) and remain in effect until withdrawn or replaced.

1. Definitions

  • Services — temporary accommodation, meals and hotel facilities as part of the yoga retreat programme, plus any additional wellness services ordered separately.
  • Reservation — a booking confirmed in writing by the Provider for specific dates.
  • Deposit — USD 100 per room required to confirm a reservation.
  • Rate — the price for accommodation and included services stated on the Website or agreed at booking (from USD 95 per night for double occupancy in a Standard Room; final price depends on dates, room category and availability).

2. Scope of services

2.1. We provide accommodation and related services as described in your confirmation. You agree to pay applicable charges and comply with house rules.

2.2. Unless otherwise stated in your confirmation, the yoga retreat rate typically includes: accommodation, breakfast and lunch, group yoga (up to twice daily), evening meditations; for stays of 7+ nights — Ayurvedic pulse reading and wellness consultation; use of hotel facilities (saunas, gym, pools, kayaks, paddleboards) when available.

2.3. Not included unless paid separately: detox, Panchakarma and other wellness programmes, private treatments and massages, excursions, flights, transfers, alcoholic beverages and any items not listed in your confirmation.

2.4. Website content is illustrative. Your written confirmation (email, messenger or other channel) prevails in case of discrepancy.

3. Booking and contract formation

3.1. A contract is formed when you:

  • pay the deposit or full amount; or
  • confirm a reservation in writing after agreeing terms with us; or
  • submit a Website enquiry with acceptance of these Terms, our Privacy Policy and Cancellation Policy, and we confirm the booking.

3.2. You confirm that you are legally capable, that your information is accurate, and that you accept these Terms.

4. Reservation process

4.1. Book via the Website form, WhatsApp, Telegram or other contact channels listed on the Website.

4.2. Minimum stay and availability are confirmed at booking. We may decline a request before confirmation without stating reasons.

4.3. A USD 100 deposit per room is required to confirm. The balance, if any, is due on arrival by method agreed with reception (cash, bank transfer, card — subject to availability).

5. Payment

5.1. Prices are generally quoted in USD; other currencies may be accepted at the rate on the payment date unless otherwise agreed.

5.2. The from USD 95/night rate applies to double occupancy in a Standard Room unless your confirmation states otherwise. Single occupancy and other room categories are priced separately.

5.3. Published Website prices may change before confirmation. A confirmed reservation locks in the agreed price unless mandatory law requires otherwise.

5.4. Unpaid reservations may be cancelled after the payment deadline stated in our invoice or message.

6. Changes and cancellation

6.1. Cancellation, date changes and deposit retention are governed by our Cancellation Policy, which forms part of these Terms:

  • deposit: USD 100 per room;
  • cancel 14 or more calendar days before arrival — deposit remains valid for 12 months toward a future stay; one date change without losing the deposit;
  • cancel within 14 days of arrival — deposit is non-refundable;
  • early check-out — no refund for unused nights unless agreed with management.

6.3. Mandatory consumer protection laws in your country of residence apply where they cannot be lawfully excluded.

7. Check-in, check-out and house rules

7.1. Standard check-out by 12:00 and check-in from 14:00 (Thailand local time) unless otherwise agreed.

7.2. Guests must respect other guests, hotel property and Thai law.

7.3. We may refuse or terminate stay without refund for serious rule violations, safety risks, illegal activity or property damage.

7.4. Children and extra beds require prior approval.

8. Wellness services disclaimer

8.1. Yoga, meditation, Panchakarma, detox, massage and other wellness offerings are for general wellbeing and do not constitute medical diagnosis or treatment.

8.2. You are responsible for assessing your health and disclosing contraindications. We may refuse a treatment if we reasonably believe it poses a risk.

8.3. We are not liable for consequences of undisclosed medical conditions, pregnancy, allergies or similar.

9. Rights and obligations

We will: provide the confirmed room and services subject to payment and compliance with rules; maintain a reasonable standard of service for our category.

You will: pay agreed charges on time; provide accurate contact details; comply with house rules and Thai law; compensate damage you cause.

10. Liability

10.1. We are not liable for failure caused by force majeure (section 11), third-party acts (airlines, transfers, natural events) or indirect loss or lost profits.

10.2. Our aggregate liability relating to your stay and paid services is limited to the amount you paid for the affected period/service, unless mandatory law requires more.

10.3. Valuables should be stored in the safe or with reception; we are not liable for cash or valuables left unattended beyond reasonable hotel precautions.

11. Force majeure

Neither party is liable for failure due to events beyond reasonable control (natural disasters, epidemics, war, government orders, transport disruption). The affected party will notify the other promptly; parties will negotiate rescheduling, deposit credit or other fair solutions.

12. Personal data

Processing of personal data is described in our Privacy Policy. By booking, you consent to processing necessary to perform the contract and communicate about your reservation.

13. Complaints

13.1. Complaints should be sent in writing (email or messenger) within 14 days of discovering an issue, and no later than 7 days after check-out.

13.2. We respond within 30 calendar days where possible. Disputes should first be resolved by negotiation (section 14).

14. Governing law and disputes

14.1. These Terms are governed by the laws of the Kingdom of Thailand. Services are performed in Thailand.

14.2. Courts in Thailand at the Provider’s location have jurisdiction unless mandatory law in your home country provides otherwise for consumers.

15. Changes to these Terms

15.1. We may update these Terms by publishing a new version on the Website. Confirmed reservations remain subject to the version in effect at acceptance unless we agree otherwise.
