This Cancellation Policy (the “Policy”) forms an integral part of the Terms & Conditions of Satva Samui Retreat Hotel (the “Provider”, “we”) and governs cancellation, date changes, no-shows, early departures, and deposit retention or credit for accommodation bookings made via satvasamui.com.
By confirming a reservation you agree to this Policy in full.
2.1. A reservation is confirmed upon receipt of the USD 100 per room deposit unless otherwise stated in written confirmation.
2.2. The balance of accommodation and agreed extras is payable on arrival by methods available at reception (cash, bank transfer, card — subject to availability).
2.3. Unless expressly agreed, the deposit is not full prepayment for the entire stay.
3.1. The Guest may cancel by written notice (email or WhatsApp/Telegram using contacts on the Website or in the confirmation), stating the reservation reference, guest name and cancellation date.
3.2. Cancellation 14 or more calendar days before arrival:

3.4. Calendar days are counted from the date notice is received (or the date stated in the notice) through the confirmed arrival date. Timestamp in the messaging channel prevails in case of dispute.
4.1. The Guest may request one date change provided that:
4.2. An eligible date change preserves the deposit toward the amended reservation; seasonal rate differences may apply by agreement.
4.3. A second change, changes with less than 14 days’ notice, or changes to unavailable dates are treated as cancellation under section 3 with consequences according to notice period.
5.1. A no-show occurs if the Guest fails to arrive on the arrival date without prior cancellation or date-change notice under section 9.
5.2. On no-show the deposit is forfeited as for cancellation within 14 days (section 3.3), unless the Guest proves force majeure (section 7).
5.3. The Provider may release the room for other guests from the arrival date.
6.1. Early departure means vacating the room before the end of the paid or confirmed stay period without fault of the Provider.
6.2. No refund is given for unused nights unless expressly agreed in writing with management or required by mandatory law.
6.3. Early departure does not automatically entitle the Guest to deposit refund or credit unless stated in the confirmation.
7.1. Either party affected by force majeure (natural disaster, epidemic, government order, carrier cancellation, etc.) shall notify the other without undue delay.
7.2. Parties will negotiate rescheduling, deposit credit or other fair outcome, having regard to costs actually incurred by the Provider.
8.1. We may cancel or modify a confirmed reservation due to force majeure, inability to supply the room, breach of booking or house rules, or other grounds in the Terms and applicable law.
8.2. If we cancel other than for force majeure, we will at our option: reschedule on comparable dates; credit the deposit in full for a future stay; or refund the deposit in cash within a reasonable time by the original payment method unless agreed otherwise.
9.1. Send cancellation or change requests to contacts in your confirmation or on the Website (WhatsApp +66 950 165 058, Telegram @OlgaSatva).
9.2. Notice is deemed received when read by our staff or, if unread, within 24 hours of sending without delivery error in the same channel.
9.3. We will confirm acceptance of cancellation or change and state the effect on your deposit.
10.1. Cash refunds are made only where required by this Policy, the Terms, written agreement or mandatory law.
10.2. Deposit credit is applied when the same Guest (or authorised representative named in the original confirmation) makes a new booking within the credit validity period.
10.3. Payment processor, bank and currency conversion fees may be deducted from any permitted refund to the extent actually charged by third parties unless law requires otherwise.
11.1. Mandatory consumer protection rules of your country of residence or citizenship apply where they cannot lawfully be excluded and bind the Provider.
11.2. Nothing in this Policy limits your right to court relief or complaints to competent authorities.
12.1. This Policy is read together with our Terms & Conditions and Privacy Policy. On conflicts regarding cancellation and deposits, this Policy prevails.
